HR ADMIN & RECRUITING ASSISTANT

The HR Admin & Recruiting Assistant plays a key role in supporting the HR department with administrative tasks while actively assisting in the recruiting process. This role involves handling candidate outreach, coordinating interviews, maintaining job postings, and ensuring a smooth hiring process. The ideal candidate is detail-oriented, organized, and has excellent communication skills. The HR Admin & Recruiting Assistant plays a key role in supporting the HR department with administrative tasks while actively assisting in the recruiting process. Location: Downtown Boston

The Right Candidate

  • 3 + years of experience in HR, recruiting, or administrative support (preferred but not required).

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and HR software/applicant tracking systems.

  • Ability to handle confidential information with professionalism.

  • Detail-oriented with the ability to multitask and prioritize tasks efficiently.

  • A proactive and resourceful approach to problem-solving.

Job Duties

  • Maintain and organize new employee records, ensuring compliance with company policies and legal requirements.

  • Assist with onboarding tasks, including new hire paperwork and orientation scheduling.

  • Manage email correspondence and respond to general inquiries.

  • Help coordinate employee engagement initiatives and company events.

  • Support HR team with benefits administration and employee communications.

  • Assist in tracking and updating HR policies, procedures, and compliance documents.

  • Research and identify new job posting platforms, including job boards, career fairs, and networking events.

  • Post job openings on various platforms and ensure job descriptions are accurate and up to date.

  • Act as the first point of contact for applicants, responding to initial inquiries and screening resumes.

  • Schedule and coordinate interviews between candidates and hiring managers.

  • Assist in interview preparation, including sending confirmations, preparing materials, and gathering feedback.

  • Track candidates throughout the hiring process and update the applicant tracking system.

  • Assist in background checks, reference checks, and offer letter preparation.

  • Maintain relationships with recruitment agencies and external hiring partners as needed.
