POSITION SUMMARY The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the organization's Human Resources department. KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS INCLUDE: Recruitment Support
  • Responsible for processing and maintaining blind candidate vision verification forms.
  • Assist Recruiter with proactive and timely communication with candidates regarding vision verification forms, completing applications, and scheduling phone screenings/interviews.
  • Support Recruiter with talent pipeline and sourcing candidates.
  • Collaborate with Recruiter to initiate the new hire pre-employment process upon candidate acceptance. Process pre-employment including background screens, health screens, references etc. as required per compliance.
  • Coordinate direct labor work trials and associated travel logistics for potential legally blind candidates nationwide.
  • Administer Ability One direct labor Individual Eligibility Evaluations annually.
HR Department Support
  • Respond to inquiries from employees, leaders, and other stakeholders in a timely manner regarding policies procedures, human resources services while maintaining appropriate standards of confidentiality and privacy.
  • Provide resources and/or serve as a liaison for B/VI and/or disabled employees.
Onboarding Processes
  • Responsible for new hire paperwork and ensuring all employment requirements have been meet.
  • Assist/partner with leaders, IT and other stakeholders to complete pre-boarding processes in advance of new employee's arrival.
  • Responsible for coordinating all on-boarding process to include new employee orientation.
Offboarding Support
  • Assist leaders with completing termination action processes in HRMS system
    • personnel action forms (PAF)
    • resignation letters
    • termination checklists
    • IT offboarding forms/IT tickets
    • Breakdown active files (HR, medical, FMLA, NIB, Work Comp) and file in term files
Events & Recognition Support
  • Participate and carryout the required responsibilities as the Secretary of the Employee Advisory Committee (EAG).
  • Aligning, planning, and coordination of employee events and other morale building initiatives.
  • Responsible for entering, updating, and maintaining employee information in HRIS system.
  • Ensure all employee records are accurately maintained with the Human Resources Management System (HRMS).
  • Assist with special projects as assigned by the HRBP and/or Vice President, Human Resources.
  • Additional job responsibilities as assigned.
Additional Administrative Support
  • Provide Receptionist back-up support coverage for lunch, breaks, time-off, etc. as needed.
  • As needed, assist with monitoring transportation (pick-up of employees) at the end of the day.
  • Assist with expense reporting and travel requests of executive leadership.
  • Responsible for setting up electronic welcome boards for special guests/visitors and tours.
  • Assisting with computer and audio-visual setup in conference rooms for meetings and tours.
  • Responsible for maintaining food and beverages in the leadership/executive kitchen.
  • At the discretion of the HRBP and/or Vice President, Human Resources, assist leadership with additional administrative requests.
JOB REQUIREMENTS INCLUDE Education: Associate degree Human Resources Management, or equivalent experience in lieu of degree required; High school diploma or GED equivalent required; non-profit experience preferred. Experience: Proven experience as a Human Resources Assistant or relevant Human Resources and/or prior related administrative position. Knowledge/Skills:

  • Proficient with or the ability to quickly learn payroll management, human resources information system (HRIS), and similar applications.
  • Highly proficient with Microsoft Office Suite or related software.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Must possess the ability to:
    • Work well under pressure with a sense of urgency, when appropriate.
    • Work in a team-oriented and collaborative environment.
    • Manage multiple conflicting priorities and deadlines.
    • Handle data with confidentiality.
Licenses/Certifications: PHR or SHRM-CP preferred.
